Questions

Does it work out GP with or without VAT?

Both are covered. In Settings, tell it whether your menu prices include VAT and set the VAT rate (20% by default). GP and food cost % are worked out on the price after VAT is taken off.

Does it include the 14 allergens?

Yes. The Ingredients tab has a column for each of the 14 allergens, plus up to 5 extra items of your own. Tick them once per ingredient and the Allergen Matrix and Recipe Cards fill in from your recipes. Always check supplier labels; you are responsible for the allergen information you give customers.

What happens when a supplier puts prices up?

Change the pack price once on the Ingredients tab and every dish that uses it is recosted straight away.

Do I need Microsoft Excel?

No. It works in Microsoft Excel, or free in Google Sheets.

Is it a subscription?

No. It is a one-off payment and the file is yours to keep. There are no monthly fees.

I'm not good with spreadsheets. Is this for me?

Yes. You type into the yellow boxes and everything else works itself out. There are no formulas to write, and the How to use tab walks you through it.

Can I see it before I buy?

Yes. Look through the screenshots above. Your download includes a filled-in DEMO copy and a full PDF guide as well as the blank spreadsheet, so you can see exactly how it works before adding your own.

Does it work on a Mac, iPad or phone?

Yes on a Mac: use Excel for Mac, or open it free in Google Sheets in your web browser. On an iPad or phone you can open it in the free Excel or Google Sheets app, but a computer is easier for setting it up.

Description

Sound familiar?

  • Supplier prices go up and you only notice when the margins have already gone.
  • Allergen information is scattered across notebooks, labels and memory.

What the Recipe Costing Sheet does

Type in your ingredients with their pack sizes and prices, then add each dish line by line. It works out the cost per portion, profit per portion and gross profit % (ex-VAT) for every dish, compares each one with your target GP, prints a recipe card for any dish and builds a 14-allergen matrix from the allergens you tick against each ingredient.

  • Settings – your business name, lists for the drop-downs and a colour theme picker
  • Dashboard – dishes on the menu, average GP %, your target, and the best and weakest dishes
  • Ingredients – pack size, pack price and cost per g, ml or each, with the 14 allergens plus up to 5 of your own (e.g. garlic, onion, chilli)
  • Measures – teaspoons, tablespoons, cups and pinches converted for you
  • Dishes – up to 200 dishes with portions, menu price, cost per portion, profit and food cost %
  • Recipe Lines – pick a dish, then add each ingredient on its own row
  • Recipe Card – a printable costing card for any dish, showing what it contains
  • Allergen Matrix – every dish against every allergen, filled in automatically

Format

  • Your blank spreadsheet (.xlsx, UK edition), ready for your business
  • A filled-in DEMO copy, so you can see every tab working before you start
  • A full PDF user guide: set-up, every tab explained, a daily routine, the rules that apply and answers to common questions
  • Works in Microsoft Excel (Windows and Mac) and Google Sheets
  • No macros, nothing to install, no subscription
  • Yellow boxes are for you to fill in; pale green boxes work themselves out

How it works

  1. Buy and download the file straight away.
  2. Open it in Excel, or upload it to Google Sheets.
  3. Open the DEMO and the PDF guide to see how it works, then fill in Settings on your blank copy and start typing your own.
