This policy explains what personal information SpreadsheetLand collects when you use spreadsheetland.com, why we collect it, and your rights. We keep it as short and plain as we can.
Who we are
SpreadsheetLand (spreadsheetland.com) is a small UK business selling downloadable spreadsheet templates, run by Darren Hunt trading as SpreadsheetLand, 6 Lewisham Terrace, Berkeley, GL13 9NP, United Kingdom. We are the “controller” of your personal data. You can contact us about anything in this policy at hello@spreadsheetland.com.
What we collect and why
- When you buy something: your name, email address, billing address and order details. We use these to process your order, send your download link and receipt, and keep the accounting records we are required to keep by law. Lawful basis: contract and legal obligation.
- Payments: card, Google Pay and Amazon Pay payments are handled securely by our payment providers (WooPayments / Stripe, Google and Amazon). We never see or store your full card details.
- Failed or unfinished payments: if a payment fails, we may send you an email with a link to try again. Lawful basis: legitimate interests (helping you complete your order).
- Unfinished checkouts: if you type your email address at checkout but don’t complete your order, we save your email, first name and basket contents and send you one reminder email about an hour later, with a link to pick up where you left off and a link to opt out. Lawful basis: legitimate interests (helping you complete your order).
- When you contact us: your name, email address and message, so we can reply. Lawful basis: legitimate interests.
- Our chat assistant: the “Ask a question” chat on our website is powered by Claude, an AI service from Anthropic. The questions you type are sent to Anthropic to generate an answer. Please do not type personal or payment details into the chat. If you choose to unlock extra questions, we check your order number and email address against our order records; we do not send these to Anthropic. A small cookie remembers how many questions you have used today. Lawful basis: legitimate interests (answering your questions).
- Newsletter (if you sign up): your email address and first name (optional), plus when and where you signed up, to send you news and offers. If you ask for the welcome discount code, we show it straight away and email it to you; we only send newsletters after you confirm by email. You can unsubscribe at any time using the link in every email. Unconfirmed sign-ups are deleted after 30 days. Lawful basis: consent.
- Review requests and reviews: a few days after your order is completed, we may send you one email asking for an honest review, with a link to stop these emails. If you leave a review, we publish your rating, your review and the name you choose, marked as a verified purchase. Your email address is never shown. Lawful basis: legitimate interests (getting feedback and helping other customers choose).
Cookies, analytics and advertising
We use essential cookies to run the shop (for example, your basket). With your permission, given through our cookie banner, we also use Google Analytics (via Google Site Kit) to understand how visitors use the site, and the Meta (Facebook) Pixel to measure and improve our Facebook and Instagram adverts. You can change your choice at any time using the cookie settings button on the site.
Who we share data with
We only share personal data with the services we need to run the shop:
- Hostinger (website hosting and email)
- WooPayments / Stripe, Google Pay and Amazon Pay (payments)
- Anthropic (chat assistant questions)
- Brevo (sending our newsletter, only to people who confirmed their sign-up)
- Google (analytics) and Meta (advertising measurement), only if you allow these cookies
Some of these providers may process data outside the UK. Where they do, they use legal safeguards such as the UK International Data Transfer Agreement or Standard Contractual Clauses. We never sell your personal data.
How long we keep it
Order and payment records are kept for as long as UK tax law requires (normally six years). Contact messages are kept for up to two years. Unfinished-checkout records are deleted automatically after 60 days. Newsletter details are kept until you unsubscribe. Chat questions are not stored on our website beyond simple usage counts.
Your rights
You have the right to ask for a copy of your data, to have it corrected or deleted, to object to or restrict how we use it, and to have it transferred. Email hello@spreadsheetland.com and we will respond within one month. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
